Competency management

A folder of certificates is not a record.

A certificate proves somebody once had a ticket. What an auditor asks for is something current and attributable — dated, signed off by a named assessor, and tied to the requirements of the role the worker is actually doing. Certifications, attainments, training records — whatever your site calls them, they are evidence files, and your equipment carries them the same way your people do.

Evidence goes against the worker, not into a shared drive. Every upload is dated and attached to the requirement it satisfies.

Approving and rejecting

Documents are checked before they count. A rejection carries a reason and goes back to be corrected.

Verification of competency

VOC is held as an attributable record: a named, authorised assessor signed this off on a specific date, against a specific skill.

Escalated documents

Some qualifications need more than a first-line check. Escalation routes them to the person authorised to approve them.

Document templates and reference files

Publish the templates and reference material contracting companies are meant to use, so what comes back is the right document in the right form.

Courses become records

A completed online course becomes a training record automatically — the worker never leaves the platform, and the credential is dated and tracked from then on.

Questions about competency

We keep all the certificates. Isn't that the same thing?
A certificate proves somebody once passed something. A competency record says a named, authorised assessor verified this person can do this task, on this date. In an investigation those are different answers to different questions, and a folder can only give you the first one. The same applies to equipment — an inspection or service is evidence held against the asset, not a certificate filed away from it.
What is the difference between a ticket and a competency?
A ticket is a document. A competency is a record that a named, authorised person verified this worker can do this task, on a specific date. The document supports it; it is not the same thing, and in an investigation the difference matters.
Do workers have to complete training somewhere else?
No. Online courses run inside the platform, and a completed course becomes a dated training record automatically rather than needing somebody to key in a certificate.
Some qualifications need a senior sign-off. Can we enforce that?
Yes. Escalated documents route to the person authorised to approve that particular qualification, rather than being approved by whoever happens to be in the queue.
Can we give contracting companies the right forms to use?
Yes — document templates and reference files are published in the platform, so contracting companies submit the document you actually want rather than their own version of it.
