Simplifying Contractor Management with New Efficiency Features

Site Approved are designed to streamline processes, boost efficiency, and address the unique challenges faced by leading mining and construction companies. Whether it’s optimising TNA Groups or simplifying document workflows, these features ensure smarter and more effective site management.

Introducing the Group Responsible Person Configuration

We’re excited to unveil a significant update in GO! Site Approved that focuses on improving your contractor management processes. This update introduces new tools specifically designed to enhance Training Needs Analysis (TNA) and Skill Management. Managing training and compliance across multiple groups can be challenging, but our latest feature simplifies this by allowing you to designate individuals as ‘responsible’ for TNA Groups. This ensures that each group has a dedicated person accountable for their training and compliance needs, making the management process more organised and efficient.

Configuration Steps:
  1. Navigate to Components > TNA > Responsible People.
  2. Define the responsible person for each TNA Group.
Responsible Person Calendar Notification:

To keep everyone informed and organised, responsible people will now receive email notifications when individuals from their TNA Groups:

  • Are invited to a Calendar Event.
  • Are confirmed as attending or not attending a Calendar Event.

Skill Library Merge Function

We’ve also enhanced the Skill Management feature with a new Skill Library Merge Function. This allows you to merge two Skill Definitions, streamlining your skill database and reducing redundancy.

How to Merge Skills:
  1. Navigate to Components > TNA > Skills.
  2. Click the Merge button next to a Skill Definition.
  3. Select another Skill Definition to merge it into, then click Merge Skill.
Why This Is Important

By assigning responsible people to TNA Groups, you ensure clear accountability and improve communication, making it easier to manage training and compliance. Ability to Retain Previously Supplied Documents in New Onboarding Workflow

We’re always looking for ways to make your onboarding process more efficient and user-friendly. Our latest enhancement allows workers to reuse previously supplied documents in new onboarding workflows, saving time and reducing redundancy.

How It Works:
  • Reuse Existing Evidence: When workers are uploading documents during a new workflow, they now have the option to use existing evidence documents previously submitted.
  • Current Record Display: The system will display their record as ‘currently on file,’ indicating that the document is already available in the system.
  • Easy Copy Function: Workers can simply click the ‘Copy’ button to reuse the on-file record, eliminating the need to upload the same document multiple times.

This feature significantly streamlines the document submission process for workers, making onboarding faster and more efficient. By allowing workers to reuse previously supplied documents, you reduce the administrative burden and minimise the risk of errors or omissions. Site Approved continues to improve the user experience, making it easier for you to manage your workforce and maintain compliance.



Child Workflows Feature

Designed to enhance the adaptability and productivity of managing worker roles and responsibilities, this feature allows for the initiation of ‘Role Change’ functionality for existing inducted workers, ensuring seamless transitions and continuous compliance.

Key Highlights of the Child Workflows Feature:
  • Dynamic Role Management: Child Workflows can now be used for existing inducted worker ‘Role Change’ functionality, making it easier to update and manage worker roles as needed.
  • Improved Administrative Control: Site Admins, Site Super Users, Administrators, and Webmasters can now initiate these workflows on behalf of workers, providing greater control and oversight.
How to Initiate a Child/Role Change Workflow:
  1. Navigate to Workflow Profiles: Begin by navigating to the ‘Workflow Profiles’ section within GO! Site Approved.
  2. Select the Worker: Click ‘View’ on the Worker you’d like to action.
  3. Choose the Workflow: From the Workflow drop-down, select the desired Child/Role Change Workflow.
  4. Complete Mandatory Fields: Fill in the required mandatory fields to ensure all necessary information is captured.
  5. Save the Workflow: Click ‘Save’ to initiate the workflow and implement the role change.
